About the Client

Client is an independent petroleum refiner and supplier of unbranded transportation fuels, heating oil, petrochemical feedstocks, lubricants and other petroleum products in the United States.

Business Challenge

Client had an intranet portal on SharePoint 2010 for document management and employee collaboration. The SharePoint instance was poorly architected and implemented, with a single unwieldy database site collection storing all information generated by the users. This led to slower website response time, especially during Searches.

The client approached Silicus to re-architect the portal to ensure faster response times.

Silicus Solution

Silicus restructured various modules within the old portal, segregating information flows between modules to make it more streamlined.

Data Segregation into Site Collections

Silicus segregated the information architecture, re-arranging the existing content into different site collections according to their geographical locations, workflow, and content types.

This streamlined the search process, making it faster since data was pulled from a smaller site collection of the main portal instead of searching through the entire data. These changes were not visible to the end users, who did not see the difference between database separations or location wise segregated content.

Scripting based Portal Restructuring

While restructuring the old portal using SharePoint’s UI capabilities was an option, Silicus chose to use a custom scripting approach since there was data migration work involved from the main portal to the several sub-portals.

Data Migration

PowerShell based scripting commands were used for data migration from main site to all site collections. PowerShell was selected since it’s free, supports native tools, allows for an instruction driven approach providing more control, and easily customizable features.

Functional & Data Integrity Verification

Following functional and data related aspects were thoroughly tested before production release:

  • Look and feel of complete user interface (UI)
  • Security (permissions and access) levels
  • Changes in navigation (relinking)
  • Data Integrity checks
Crawling & Re-indexing

Since data was imported to a new application, indexing via crawling helped the search scope to narrow down to relevant results.

Workflow Creation

Nintex workflow automation software was leveraged to better manage the workflow creation from master site to sub sites.
